LAS Art Foundation is seeking a Production Assistant to join its Production team and support the delivery of the 2026–2027 programme.

Working closely with Head of Production & Planning, Production Manager and the wider Production team, the Production Assistant supports the planning, coordination, and delivery of exhibitions, installations, and public events from pre-production through to deinstallation and documentation.

This is a varied, hands-on role that combines project coordination with on-site production. The Production Assistant will assist in managing relationships with artists, partners, vendors, and contractors, coordinate production logistics, and support exhibition installation, maintenance, and deinstallation. During exhibition periods and events, they will also support the smooth day-to-day running of exhibitions, including maintenance and upkeep of our projects.

The ideal candidate is highly organised, detail-oriented, proactive, adaptable, and enjoys working collaboratively in a fast-paced environment. This role requires flexibility to work evenings and weekends during exhibition installation periods and public programmes.

WHAT YOU DO

Production Planning & Management

  • Support the planning and delivery of exhibitions, installations, and events, including maintaining production timelines, installation schedules, call sheets, and run-of-show documents.

  • Assist with production budgets by tracking expenses, processing quotes and invoices, and maintaining accurate financial records.

  • Coordinate production logistics, including venue access, deliveries, shipping, transport, customs, and storage.

  • Act as a key point of coordination between LAS, venues, artists, contractors, and external production partners to ensure clear communication and timely delivery.

  • Prepare and maintain production documentation, including technical briefs, scopes of work, production plans, floor plans, and technical riders.

  • Support the planning and coordination of exhibition layouts and event spaces in close collaboration with the Curatorial team, contributing to the successful realisation of each project's spatial and production requirements.

Vendor & Contractor Coordination

  • Support the Production Manager in sourcing, coordinating, and maintaining relationships with vendors, freelancers, contractors, and external production partners.

  • Prepare vendor briefs, gather and compare quotations, and support contract coordination and negotiations.

  • Maintain accurate vendor trackers, production records, and relevant documentation.

  • Coordinate with the Production team to ensure high-quality delivery of work within agreed timelines and budgets.

  • Support the documentation of exhibitions and events in collaboration with the Curatorial and Communications teams, ensuring key production processes and outcomes are captured and archived.

  • Support the coordination and finalisation of contracts, ensuring agreements with vendors, freelancers, and partners are accurately documented and aligned with project requirements

On-Site Production Oversight

  • Support all on-site production logistics during exhibition installation, public programme delivery, run-of-show, and deinstallation periods.

  • Assist the Production Manager in coordinating installation teams, runners, and on-site staff, including scheduling, briefing, and day-to-day communication. Act as a key point of contact for selected vendors and external contractors.

  • Support the set-up and management of the on-site production office, including staff coordination, catering, and general production needs.

  • Support the delivery and maintenance of site infrastructure, including electricity, water, heating, waste management, and other operational requirements.

  • Support the implementation and adherence of health, safety, hygiene, accessibility, and site management protocols throughout production periods.

Collaboration & Communication

  • Work closely with the Curatorial, Operations, Technical, and Communications teams throughout all phases of project development and delivery.

  • Support conversations with artists, designers, and external collaborators around production requirements, including logistics, AV, lighting, fabrication, and technical solutions.

Post-Production & Reporting

  • Support the creation and delivery of post-production documentation, including wrap reports, technical riders, and final budget reconciliations.

  • Ensure production records and documentation are accurately archived in line with LAS systems and processes.

  • Maintain and update internal databases, production trackers, schedules, and project documentation to support effective knowledge sharing and future planning.

WHO YOU ARE

Qualifications & Experience

  • Minimum of 3 years experience in production and/or project management within the arts, culture, creative industries, technology, or related sectors.

  • Strong understanding of production workflows, project timelines, budgeting, and cost management.

  • Familiarity with exhibition production processes, including materials, AV, lighting, fabrication, and technical requirements.

  • Ability to read and interpret floor plans, technical drawings, and production documentation.

  • Experience coordinating external vendors, contractors, and multi-stakeholder projects.

  • Strong organisational skills, with the ability to manage multiple priorities, adapt to changing requirements, and work effectively under pressure.

Skills & Competencies

  • Excellent organisational, time management, and communication skills, with the ability to coordinate multiple tasks and stakeholders effectively.

  • Strong problem-solving skills, attention to detail, and the ability to adapt in a fast-paced, evolving production environment.

  • Professionalism, discretion, and confidence working within sensitive, high-profile, or public-facing environments.

  • Fluency in German and English (written and spoken) is essential.

  • Proficiency in Google Workspace and project management tools such as Asana (or similar platforms).

  • Familiarity with design and technical software such as SketchUp, AutoCAD, and Figma is an advantage.

  • Knowledge or interest in creative technology (AR/VR, AI, Web3, blockchain, etc.).

  • Experience with technical or creative tools like OpenFrameworks, TouchDesigner, Unity/Unreal.
